Uploading and Sharing Project Files in Britixo CRM?
Introduction:
File management is essential for collaboration and documentation in any project. Britixo allows you to upload files to projects, tasks, and discussions. You can choose to keep files internal or share them with the client by setting visibility options. Files are stored securely and organised per project.
Step-by-Step: Upload Files to a Project
1. Open a Project
Navigate to Projects from the left sidebar
Click the relevant project to open it
2. Go to the Files Tab
Click on the Files tab within the project menu
3. Upload a File
Click the Upload File button
Select files from your device
Optional: Add a description for each file
4. Choose Visibility (Optional)
Tick the checkbox "Visible to customer" if you want the file to appear in the client's portal
Leave it unticked to keep the file internal to staff only
5. Save and Upload
Once files are selected, click Upload
Files will be added to the project’s file list
Attaching Files to Specific Items
You can also upload or attach files when working with:
Tasks: While creating/editing a task, scroll to the attachment section
Milestones: Files cannot be uploaded directly, but milestone-related tasks can have attachments
Project Discussions: Go to the Discussions tab → select a thread → attach files in a comment
All files remain centralised under the Files tab in the project and are also visible in their respective areas.
Managing Files
From the Files tab, you can:
Preview or download documents
Delete files (admin/staff permission required)
Toggle visibility on/off after upload
See who uploaded the file and upload date
Files in the Client Portal
If a file is marked Visible to customer:
The client can access it via their portal under:
Projects > [Project Name] > Files
Clients can view or download the files, but not edit or delete them
Tips:
Use clear naming for files (e.g. "Contract_Signed_V2.pdf")
Keep internal files separate by not marking them visible to clients
Use file descriptions for better organisation
Re-upload updated versions instead of editing originals.
