✅ How to Customise Email Templates in Britixo CRM or Practice Management Software?

Customising your email templates in Britixo ensures that every email sent from your CRM matches your brand tone, layout, and communication preferences. From invoice reminders to support ticket updates and customer onboarding emails, Britixo provides a centralised way to edit system-generated email content—so you maintain a consistent, professional brand image with every interaction.

🧭 Where to Find Email Templates.

  1. Log in to Britixo: https://britixo.com/app/login

  2. In the left sidebar, navigate to:
    Setup → Email Templates

You will now see a complete list of pre-configured templates grouped by categories such as:

  • Invoices

  • Projects

  • Proposals

  • Estimates

  • Clients

  • Tickets

  • Tasks

  • Contracts

  • Staff

  • Subscriptions (if enabled)

✏️ How to Edit an Email Template.

  1. From the Email Templates list, click on the template name you wish to edit.
Example: Invoice Overdue Notice (Sent to Customer)

  2. You will now see:

    • Subject Line: The email’s title as seen in the recipient’s inbox

    • Email Body: The content of the email in HTML/text format

    • Available Merge Fields: Dynamic tags you can insert to personalise the message (e.g., {invoice_number}, {client_firstname})

  3. Make your edits:

    • Use bold, italics, lists, and links to format content

    • Insert relevant merge fields by clicking them (they will auto-insert into the content)

  4. Click Save Template when done.

🧩 Understanding Merge Fields:

Merge fields are placeholders that automatically pull real data into your emails. For example:

Merge FieldOutput (Example)
{client_company}“ABC Consulting Ltd.”
{invoice_number}“INV-00047”
{total}“£1,200.00”
Merge fields are template-specific—only use the ones listed for each email category.

📩 Managing Email Templates.

  • Disable a Template: Uncheck the “Active” box at the top of a template to prevent it from sending.

  • Send Test Email: Some templates allow sending a test email to verify formatting and layout.

  • Multi-language Support: If you’ve enabled multiple languages in Britixo, you’ll be able to add versions for each language.

🎨 Tips for Better Branding.

  • Use your logo and branding colours via HTML formatting if needed

  • Set a clear tone of voice (friendly, formal, etc.)

  • Include contact info and links to your help centre or policies

  • Avoid excessive styling to ensure deliverability

  • Test emails with multiple clients (Gmail, Outlook) to confirm formatting

🔐 Security and Deliverability.

  • Ensure your SPF, DKIM, and DMARC records are configured correctly for your domain to improve deliverability.

  • Always test merge fields—an invalid field can result in blank or broken email content.

  • Avoid spammy words like “FREE,” “CLICK HERE,” or excessive CAPS in the subject or body.
