✅ How to Add and Capture Leads Automatically in Britixo CRM?

Britixo offers multiple real methods for lead generation, including manual entry, importing from files, automatic capture via email (POP/IMAP), and lead web forms. Each method ensures your sales team can manage inbound prospects efficiently with no duplication or missed opportunities.

This guide explains every legitimate way to generate leads inside Britixo, strictly based on existing platform functionality.


🔹 Method 1: Add Leads Manually

  1. Log in to Britixo at https://britixo.com/app/login.

  2. From the left-hand menu, go to Sales → Leads.

  3. Click the “New Lead” button at the top right.

  4. Fill in the form:

  • Name – Lead’s full name or company

  • Email / Phone – Required for communication

  • Status – e.g., New, Contacted, Qualified

  • Source – Manual, Form, Email, Referral (customisable)

  • Assigned Staff – The user responsible for handling this lead

  • Tags / Notes – Optional for internal reference

  • Lead Value / Contact Date – Optional for sales tracking

  1. Click Save to add the lead to the system.


🔹 Method 2: Generate Leads Automatically from Email (POP/IMAP)

Britixo allows automatic lead generation by connecting an email inbox (e.g. sales@yourcompany.com). When a new email arrives, Britixo scans the content and creates a lead based on the sender’s email and message.

✉️ Configure Email Integration for Lead Capture

  1. Go to Setup → Leads → Email Integration.

  2. Fill out the email configuration settings:

  • Email Protocol – Choose IMAP or POP3

  • Mail Server (Host) – e.g., imap.yourdomain.com

  • Email Address / Username – The inbox to monitor

  • Password – App-specific password if using Gmail/Outlook

  • Port – Usually 993 for IMAP / 110 for POP3

  • Encryption – SSL/TLS if your server supports it

  • Check Every X Minutes – Set how often to scan

  • Only Unread Emails – Recommended for clean lead capture

  1. Choose the default Lead Source, Status, and Assigned Staff for leads generated via email.

  2. Click Save Settings.

✅ From now on, each new incoming email will generate a lead using the sender’s name and email address. The message body becomes the lead description.


🔹 Method 3: Capture Leads via Web Forms

Britixo includes lead capture forms that can be embedded on your website to collect leads directly into the CRM.

🌐 Create a Lead Web Form

  1. Go to Leads → Web to Lead Form.

  2. Click Create Form, then fill out the form setup:

  • Form Name – Internal reference only

  • Assign to Staff – Default user assigned to all submitted leads

  • Default Lead Status / Source – e.g., New / Website

  • Post Submit Message – Message shown to users after form submission

  • Redirect URL (optional) – Redirect users to a thank you or landing page

  • Enable CAPTCHA – Prevent spam (recommended)

  1. Drag and drop form fields (e.g., Name, Email, Phone, Message). You can make fields required.

  2. Click Generate Form Code.

  3. Copy the HTML code and embed it on your website.

✅ Submissions from the form will automatically appear as new leads in Britixo.


🔹 Method 4: Import Leads from CSV File

  1. Go to Sales → Leads.

  2. Click the Import button.

  3. Download the sample CSV to view the required format.

  4. Upload your lead list using the matching columns.

  5. Map fields like Name, Email, Phone, and Source.

  6. Click Import and review the results.


🔹 Method 5: Convert Existing Clients or Contacts into Leads

While Britixo is primarily designed to convert leads into clients (not the reverse), administrators can re-create a lead manually using client details if needed, especially for upselling or new product campaigns.


🧠 Tip

Use tags, statuses, and custom sources to categorise leads by campaign or entry point. This makes reporting and segmentation much easier.
