How to Set Up Email Integration to Auto-Generate Leads in Britixo?
Britixo supports automatic lead generation from incoming emails. By connecting a monitored mailbox (via POP3 or IMAP), the system can scan emails and convert them into leads based on the sender’s address and message content.
This guide explains how to configure email integration to automatically create leads whenever new messages arrive in your designated inbox.
🔹 Configure Email Integration Settings
Log in to Britixo at https://britixo.com/app/login.
Go to Setup → Leads → Email Integration.
✉️ Set Up Incoming Email Connection
Fill in your mail server details:
Email Protocol – Choose IMAP (recommended) or POP3
Mail Host – e.g., imap.yourdomain.com or pop.yourdomain.com
Email Address / Username – The full email address (e.g., leads@yourcompany.com)
Password – Use your email password or app-specific password (for Gmail/Outlook accounts)
Port – Typically 993 for IMAP (SSL), 995 for POP3
Encryption – Select SSL or TLS
Check Every X Minutes – How frequently Britixo will scan the inbox
Only Unread Emails – Recommended to avoid duplicate processing
🔧 Set Default Lead Settings
Set the following defaults for all leads generated via email:
Default Source – e.g., Email
Default Status – e.g., New
Assigned Staff – Who will handle these leads
You can also enable the option to automatically delete emails after import (use cautiously if your email is shared).
Click Save Settings to finalise.
📥 How It Works
Britixo will connect to the inbox at the configured interval.
Each new email received will be used to create a lead.
The lead’s name is taken from the sender, email address is recorded, and the message body becomes the lead’s description.
Leads appear instantly in Sales → Leads.
✅ Important Notes
If your mailbox requires two-step verification (like Gmail or Office365), you must use an app-specific password.
Britixo includes a secured and encrypted SMTP server with every plan, so you can reply to leads directly from the CRM without setting up outbound mail.
Make sure your mailbox is dedicated to lead capture to avoid spam and irrelevant entries.
