Assigning Staff and Customers to a Project in Britixo CRM?
Introduction:
Assigning the right people to a project ensures tasks are completed efficiently and communication flows smoothly. In Britixo, you can add staff members to collaborate on the project and link the appropriate customer to give them access to updates, files, and tasks—depending on visibility settings.
Step-by-Step: Assign Staff and Customers
When Can You Assign Members?
You can assign staff and customers either:
During project creation, or
By editing an existing project
1. Assigning a Customer to the Project
During Project Creation:
In the New Project form, select a Customer from the dropdown.
This customer will now be linked to the project.
Editing an Existing Project:
Go to Projects → Select a project → Click Edit Project.
In the Customer dropdown, choose the relevant client.
Click Save.
The customer will now be able to access the project from their client portal, depending on what visibility permissions you enable (see below).
2. Assigning Staff Members to a Project
During Project Creation:
In the Members field, select one or more staff members.
Only staff added here will see the project in their dashboard.
Editing an Existing Project:
Open the project → Click the Settings (gear) icon at the top-right.
Under the Members tab, you can:
Add more team members
Remove existing ones
Reassign responsibility if needed
Click Save when done.
Staff Permissions
Only assigned staff members will be able to:
View and edit project details
Add or manage tasks within the project
Track time, upload files, or leave comments
Permissions still depend on the staff role settings in Admin > Setup > Staff Roles.
Customer Access & Visibility
Once a customer is linked to a project:
They can view the project under Client Portal > Projects
Depending on what is marked visible to customer, they can:
View project progress
See assigned tasks (if marked visible)
Download project files
Participate in discussions
Adjusting Customer Visibility
You can control visibility per item (task, file, comment):
When creating or editing an item (e.g. a task), check or uncheck the box:
[] Visible to customer
Notes:
You can change or reassign customers only if there are no invoices or billing entries already linked to the project.
Staff without project access won’t be able to see or interact with the project, even if they have system-wide task access.
