📘 Introduction:

Projects in Britixo CRM allow you to group multiple tasks, milestones, and files under one central workspace. This is ideal for managing client work, internal jobs, or team-based operations. You can set deadlines, assign staff, and track billing—all within the project interface.


🧭 Step-by-Step: Create a Project in Britixo

🟢 1. Navigate to Projects

  • From the left sidebar, click Projects.

  • You'll see a list of all active, completed, or archived projects.

➕ 2. Click “New Project”

  • In the top-left corner, click the green New Project button.


📋 Project Creation Form

🧾 General Info

  • Project Name: Required field. This is the title of the project.

  • Customer: Select an existing customer. Projects must be linked to a customer.

  • Billing Type:

    • Fixed Cost: One-time fee

    • Project Hours: Based on time logged by staff

    • Task Hours: Based on time tracked per task

  • Status: Set the current stage (e.g. Not Started, In Progress, On Hold, Cancelled, Finished)

  • Start Date & Deadline: Define when the project begins and the expected completion date.

  • Currency: Set the default currency if different from the system default.

👥 Project Members

  • Add staff members by selecting them from the Members list.

  • These users will have access to the project and be able to view/edit tasks.

🧩 Optional Settings

  • Description: Add a summary or context for the project.

  • Progress: Define initial progress manually or set it to update automatically based on task completion.

  • Tags: Internal keywords to help group or filter projects.


💾 Save the Project

  • Once the form is filled, click Save.

  • You’ll be redirected to the full project workspace.


🧠 What You Can Do Inside a Project

Once the project is created, the following tabs and tools become available:

📌 Overview

  • View high-level stats:

    • Status

    • Customer name

    • Start and end dates

    • Hours logged

    • Task summary

  • Progress bar showing % completion (manual or automatic)

✅ Tasks Tab

  • View all tasks linked to the project

  • Create new tasks or link existing ones

  • Assign to team members

  • Drag-and-drop using Kanban view if enabled

📂 Files

  • Upload and share files related to the project

  • Staff and customers can access files depending on visibility settings

📝 Discussions

  • Create discussion threads for project collaboration

  • Great for feedback or group communication

  • Only visible to staff unless shared with client

📈 Timesheets

  • View all time entries logged under this project

  • Filter by staff, task, or date

💬 Notes

  • Add internal-only notes visible only to staff

💸 Invoices

  • View or create invoices for billable tasks/time

  • Track payment status directly from the project

🗓️ Milestones

  • Add specific points or deliverables tied to dates

  • Useful for staging complex projects

📜 Activity Log

  • View a timeline of every action taken in the project:

    • Task updates

    • Time entries

    • File uploads

    • Status changes


✅ Tips & Notes:

  • You can mark a project as finished when complete.

  • Customers linked to the project can view:

    • Progress

    • Files

    • Tasks (if visibility is enabled)

    • Discussions

  • You can export project data or generate reports.
