Setting Project Permissions for Team Access in Britixo?
📘 Introduction:
Britixo CRM gives you control over who can access and interact with specific elements of a project. Whether it’s assigning staff roles, setting client visibility, or managing access to discussions and tasks, permissions ensure your projects are secure and structured. You can customise access on both a project-wide and task-specific level.
🧭 Assigning Staff to a Project
👥 1. Open the Project
Go to Projects from the sidebar
Click to open the desired project
➕ 2. Assign Team Members
Go to the Project Settings tab
Under Project Members, click Edit
Select staff members to assign
Click Save
✅ Assigned members can view and interact with the project, based on their global permissions (see below).
🔐 Project Permissions: Staff Roles
Each staff member’s actions depend on their role and global permissions (configured under Setup > Staff Roles). Key project-related permissions include:
View Project
Create/Edit Tasks
View/Add Discussions
Upload Files
Log Time
Create Milestones
Delete or Archive Projects
🧠 Staff without project access won't see it listed at all.
🔒 Controlling Task-Level Access
When creating or editing a task:
Use the "Visible to customer" checkbox to allow clients to see the task
Use the "Assigned to" field to control which staff can work on it
Tasks not assigned to a staff member won’t appear in their list unless they are project members.
🧾 Restricting Invoice and Finance Access
To limit access to financial details:
Go to Setup > Roles > Edit Role
Disable access to:
Invoices
Estimates
Payments
Expenses
Or uncheck “View Financial Data in Projects”
👤 Client Permissions in Projects
Clients can be linked to a project and given visibility to specific areas:
To show an item to the client:
Check “Visible to customer” during creation
Or toggle visibility later by editing the item
🛠️ Setting Defaults for Project Items
Admins can configure default visibility settings under:
Setup > Settings > Projects
Example:
Automatically hide all new tasks from clients
Require manual visibility setting per task or file
✅ Tips:
Limit access to sensitive project files by toggling visibility
Use staff roles to avoid micromanaging each project
Assign only active collaborators to reduce clutter and notifications.
