✅ Tracking Time for Tasks and Projects in Britixo CRM?

📘 Introduction:

Britixo CRM allows staff to log time spent on specific tasks and projects. This time tracking feature is essential for billing clients, managing team workload, and measuring project efficiency. You can start a live timer, stop it when done, or log time entries manually. All entries are stored and can be included in invoices or reports.


🧭 Methods for Tracking Time in Britixo

Britixo provides two ways to track time:

1️⃣ Manual Time Entry

2️⃣ Live Timer

Both methods are linked to specific tasks (not projects directly), but the time rolls up under the assigned project if the task is project-related.


⏱️ 1. Using the Timer (Live Tracking)

Start a Timer:

  1. Go to Tasks

  2. Click on a task

  3. Click the Clock icon (Start Timer) near the top of the task view

  4. The timer starts and runs in the background

  5. Your profile icon in the top bar will show the timer running

Stop the Timer:

  • Return to the task and click Stop Timer

  • A time log entry will be saved under that task

🔔 The timer only runs for one task per staff member at a time. Starting a new timer stops the previous one.


📝 2. Logging Time Manually

  1. Open the desired task

  2. Scroll to the Timesheets tab

  3. Click Log Time Manually

  4. Fill out:

    • Start Time

    • End Time

    • Note (optional but useful for context)

  5. Click Save

The time is now recorded and available in the task’s and project’s total hours.


🧾 Viewing Time Logged

For a Task:

  • Open a task and go to the Timesheets tab

  • View individual time entries, with staff name, duration, and note

For a Project:

  • Open the project

  • Go to the Timesheets tab

  • Filter by task or staff member

  • View total project hours


💰 Billable vs Non-Billable

When creating or editing a task:

  • Check or uncheck “Billable”

  • Only billable time can be included in client invoices

  • Non-billable time is tracked for internal reporting only

💡 You can convert billable time into invoices from the project invoice tab.


🛠️ Admin Setup & Permissions

  • Staff roles must have “Create” or “Edit” permissions for tasks and time logs

  • Time format and logging settings can be adjusted under:
    Setup > Settings > Tasks


✅ Tips:

  • Use timers for tasks you work on live.

  • Log missed hours manually for better tracking.

  • Review timesheets weekly for accuracy.

  • Combine time filters to identify productivity issues or scope overrun.
