Britixo lets you define how proposals behave across your CRM environment. From numbering format to default templates and email behaviour, configuring global proposal settings helps ensure consistency and saves time across your entire team.


⚙️ Step-by-Step: Access Global Proposal Settings

🛠️ 1. Navigate to Settings

  • Go to the top-right Settings (⚙️) icon

  • Click Settings > Sales > Proposals

You’ll now see the full panel for proposal configuration.


🔢 2. Set Proposal Number Format

Options include:

  • Number Based (e.g. PRO-0001)

  • Year/Number Based (e.g. PRO-2025-001)

  • Year/Month/Number Based (e.g. PRO-2025-08-001)

These formats help with yearly or monthly resets and provide better organisation.


🖋️ 3. Define Proposal Prefix

  • Example: PRO-
    This will prefix every proposal created.

You can change this at any time, but it won’t affect existing proposals.


🧾 4. Configure Default Terms and Footer

  • Default Terms & Conditions
    These appear at the bottom of every proposal unless manually changed.

  • Default Client Note
    Adds a general note visible to clients (e.g. timelines, disclaimers)

You can format both using the rich text editor, and include placeholders like {client_name} or {proposal_number}.

Choose a predefined template to be auto-selected when creating a new proposal. This helps standardise design and content across all proposals.


📧 6. Email Options

  • Toggle email notification settings

  • Choose the default email template for sending proposals

  • Include the proposal as PDF attachment automatically when emailing

💡 Ensure your SMTP settings are configured correctly to avoid delivery issues.


🔐 7. Permission Control (Role-Based)

  • Staff roles can be configured to allow/disallow:

    • Viewing proposals

    • Editing proposals

    • Deleting proposals

    • Sending proposals

Adjust role permissions under Settings > Roles > [Select Role] > Sales > Proposals


✅ Tips:

  • Review these settings quarterly to ensure they match your branding and offer structure

  • Use dynamic merge fields in default notes for personalisation

  • Set up staff permissions to control who can access or modify proposals
