✅ Creating and Sending Proposals in Britixo CRM?

📘 Introduction:

Britixo allows you to build and send polished, branded proposals to clients directly from your CRM. Whether you’re quoting for services, selling products, or pitching a project, proposals include custom content, pricing, and online acceptance to streamline your sales process.


🧭 Step-by-Step: Create a New Proposal

➕ 1. Go to the Proposals Module

  • Click on Sales > Proposals from the left sidebar

  • Click the green New Proposal button in the top-right


📝 2. Fill Proposal Details

You'll be taken to the proposal creation form. Fill in the following fields:

  • Subject: The proposal title (e.g. "SEO Services for Q4 2025")

  • Related: Link to an existing Lead or Customer (optional but recommended)

  • Email: Auto-filled if linked; otherwise, enter the recipient’s email

  • Date Created: Set automatically, but can be edited

  • Open Till: Deadline for client to accept the proposal

  • Proposal Template: Choose from saved templates, or leave blank to write custom content

💡 Linking a customer auto-fills their contact info and allows tracking in their profile.


✏️ 3. Add Proposal Content

Use the editor to build your proposal content:

  • Add text, headings, bullet points, or embed images and tables

  • Include pricing, scope of work, timelines, or terms

  • Use smart tags like {proposal_number} or {client_name} to personalise content dynamically

You can also:

  • Insert saved proposal items (products or services)

  • Create a pricing table using items with quantity and rate


🔐 4. Set Visibility and Options

Scroll down to configure:

  • Allow Comments: Enable client feedback

  • Require Client Login to View: Optional

  • Notify on View: Get notified when client opens the proposal

  • Show to Customer: Enable this to make the proposal accessible via the client portal


💾 5. Save the Proposal

  • Click Save & Send or just Save if you want to send later

  • The proposal is now listed under Sales > Proposals


📤 Sending the Proposal

  • Open the proposal

  • Click Send to Email in the top-right

  • Review or customise the email message

  • Click Send

📧 Clients receive a branded email with a link to view and accept the proposal online.


✅ Client Actions

Once received, the client can:

  • View the proposal on a web page

  • Accept or Decline it digitally

  • Leave a comment if allowed

Britixo logs all views and actions in the proposal timeline.


📊 Tracking Proposal Status

Proposals have the following statuses:

  • Draft: Not yet sent

  • Sent: Delivered to the client

  • Accepted: Approved by the client

  • Declined: Rejected by the client

  • Expired: Not accepted by the "Open Till" date

You can filter proposals by status for reporting or follow-ups.


✅ Tips:

  • Use templates for faster proposal creation

  • Monitor opened proposals to follow up on warm leads

  • Include pricing breakdowns and expiration dates to encourage timely responses.
