✅ Handling Expired Proposals and Extensions in Britixo.

📘 Introduction:

Proposals in Britixo can automatically expire after their “Open Till” date passes. When this happens, clients can no longer accept them unless you take action. You can extend or duplicate expired proposals to keep the sales process moving without recreating everything from scratch.


📅 What Happens When a Proposal Expires?

  • The proposal is marked as Expired

  • Clients can still view the proposal

  • The Accept and Sign buttons are disabled

  • You cannot convert it to invoice/project unless it is reactivated

This helps ensure that outdated pricing or terms aren’t accepted by mistake.


🔄 Step-by-Step: Extend an Expired Proposal

📄 1. Locate the Expired Proposal

  • Go to Sales > Proposals

  • Filter by Status > Expired

  • Open the expired proposal by clicking the View icon


📆 2. Edit the Expiry Date

  • At the top, click Edit Proposal

  • Scroll to the field: Open Till

  • Enter a new future date

Click Save. The status will now automatically change from Expired back to Sent.

✅ This re-enables client actions like Accept and Sign.


🔁 Alternative: Clone the Proposal

If you don’t want to edit the original, you can:

  • Open the expired proposal

  • Click More > Copy Proposal

  • This creates a new Draft with the same content

  • Set a new expiry date before sending it again

This approach preserves the original proposal’s history while offering an updated version.


📋 Track Expiry Activity

  • Go to the proposal’s Activity Log

  • You’ll see when it expired and if/when the expiry was extended


✅ Tips:

  • Set realistic “Open Till” dates when sending proposals

  • Use filters to identify and follow up on expired opportunities

  • Consider adding a reminder before expiry to prompt timely responses.
