✅ Understanding Proposal Statuses in Britixo CRM?

📘 Introduction:

Britixo automatically assigns a status to every proposal based on its current stage in the sales process. Understanding these statuses helps your team monitor performance, follow up effectively, and stay organised.


🧭 Proposal Statuses in Britixo

Each proposal has one of the following statuses:


📝 1. Draft

  • The proposal has been created but not yet sent to the client.

  • It can still be edited, updated, or deleted.

Best for internal reviews or proposals under preparation.


📤 2. Sent

  • The proposal has been emailed to the client or manually marked as sent.

  • The system now tracks client activity on this proposal.

This status confirms the proposal is officially shared.


👁️ 3. Viewed

  • The client has opened the proposal using their unique link.

  • Britixo records the exact timestamp of this action in the Activity Log.

Useful for timely follow-ups once you know the client has seen it.


✅ 4. Accepted

  • The client has approved the proposal online (with or without digital signature).

  • The proposal is locked for further edits.

You can now convert it into a project or invoice using the toolbar options.


❌ 5. Declined

  • The client has formally rejected the proposal.

  • You can still copy or clone it to revise and resend if needed.

Helps identify deals that need review or follow-up negotiations.


⏳ 6. Expired

  • The proposal passed its Open Till (expiry) date without acceptance.

  • The client can still view it but cannot accept or comment.

You can extend the expiry date or clone the proposal if you want to reactivate it.


🔄 How Proposal Statuses Are Updated

Most statuses are updated automatically:

  • Sending the proposal changes it from Draft to Sent

  • Client views change it to Viewed

  • Online approval changes it to Accepted

You can also manually:

  • Mark a proposal as Declined

  • Extend expiry to change Expired back to Sent


✅ Tips:

  • Use status filters to manage your pipeline from the Proposals List view

  • Focus follow-ups on proposals marked as Viewed

  • Consider adding expiry dates to reduce stagnant Sent proposals.
