Before you start

Use your own authorised staff account in the intended Britixo workspace. The Sales CRM module must be available and your role must include the permissions stated above. Existing leads, customers, communications and customer portal pages retain their normal access rules.

Follow these steps

  1. Create an active price book using the existing native catalogue products before building a flow.
  2. Choose Create guided flow, enter a clear name and description, and select its price book.
  3. Enter the first question and optional helpful context. Give each answer choice a distinct label.
  4. Expand Eligible products under each answer and select all products that fit that answer.
  5. Add more answer choices or questions as needed. Use Move up and Move down to set the question order.
  6. Save guided flow, then choose Explore flow to test representative answer combinations and any expected no-match outcomes.
  7. To revise a flow, choose Edit from its card, update the configuration and save.

Behavior and limits

  • A workspace supports 50 flows, including retired flows. Retiring a flow preserves it and does not free a definition slot.
  • Use 1–10 questions, 2–10 answer choices per question and at most 60 answer choices across the flow.
  • Each answer needs 1–100 distinct eligible products from the selected book. The same product may be eligible for several answers.
  • Answer labels must be different within a question, ignoring letter case. Question titles may contain up to 200 characters, context 500, answer labels 150, flow names 100 and descriptions 500.
  • Changing the selected book preserves the questions. Any mapped product absent from the new book is labelled unavailable and must be removed or replaced before saving.
  • Saving an edited flow changes its version. A person using an older version must reopen it and answer the current questions.
  • Flows are available to permitted staff in the current workspace. No staff capability is granted when a flow is created.

Check it worked

  • Explore the saved flow and test each answer at least once.
  • Check that every answer has at least one intended eligible product.
  • Confirm that question order and explanatory text are clear to a salesperson.

Troubleshooting

  • If Save reports a changed version, reopen the flow and apply your intended changes to the current definition.
  • If products are unavailable, update the price book or remove obsolete mappings before saving.
  • If the definition limit is reached, review and revise an existing appropriate flow rather than creating duplicate routines.
