How to Configure the Client Portal and Login Access in Cloud Britixo Practice Management?
The Client Portal in Britixo is a powerful self-service area where your clients can view invoices, projects, tickets, files, estimates, proposals, and more — all in one place. With the right setup, it enhances your client experience, reduces support load, and keeps communication transparent.
A. What Is the Client Portal?
The Client Portal is a private, secure area that each client can log into to:
View their invoices and pay online
Track project progress and status
Communicate via support tickets
Review estimates/proposals
Access shared files, tasks, and notes
Update their contact details
Each client has their own unique login and only sees data relevant to their organisation.
B. Step-by-Step Setup Guide (Admin/Staff)
1. Enable the Client Portal Globally.
Go to Setup → Settings → Clients
Ensure that “Allow Client Portal Login” is enabled
Optional: Enable client registration (if you want them to sign up directly)
Go to Customers → View Client Profile
Click Contacts tab → Add or Edit a contact
Tick the checkbox: “Set login credentials”
Enter a username (email) and password
Save changes → An email will be sent with login details (if enabled)
Tip: You can give one client multiple login users with role-based limitations.
C. Your Client Login URL.
Direct your clients to: https://britixo.com/app/ (your-company-name)/ps/ ( for exact link) Dashboard -> My Account -> Account Overview.
Once logged in, they’ll be redirected to their Client Portal Dashboard.
D. What Can Clients See in the Portal?
This depends on your admin settings , but typically includes:
Customers → View Client → Tab: Permissions
E. Add Multiple Contacts per Client
If your client company has multiple staff members:
Go to the Client Profile → Contacts
Click Add Contact
For each contact, you can:
Enable portal login
Limit permissions (e.g., only invoices, or tickets only)
Assign them to email lists
This allows fine-tuned access for different departments (finance, support, project leads, etc.)
F. Set Role-Based Access for Client Users.
Go to Setup → Customer Permissions
You can control:
What each client contact can see/do
Whether they can download PDFs, submit tickets, etc.
Optional: Force approvals on estimates or proposals
G. Test the Portal Yourself.
Before inviting clients, do a self-check:
Create a dummy client with an email address you control
Assign portal access
Log in via: https://britixo.com/app/login
View the layout, test invoice downloads, submit a ticket
This ensures the experience matches your branding and setup.
H. Branding & Portal Customisation.
Go to Setup → Settings → Branding
Customise:
Company logo
Portal colour scheme
Custom login background (optional)
Footer text
You can also customise the PDF headers and invoice layout here
Optional: Use the module "Custom CSS/HTML" if available to further style the portal
I. Automated Emails for Client Portal Access
Emails are sent when:
A new contact is given portal access (with login credentials)
Password is reset
New invoice, estimate, or ticket response is sent
You can modify these emails under: Setup → Email Templates → Customer Templates
J. Security Best Practices
Recommend clients use strong passwords
Enable 2-Factor Authentication (2FA) if the module is active
Set timeouts for inactive sessions under Setup → Security Settings
Monitor Client Activity Logs under each client’s profile (shows portal usage)
