Manage an opportunity buying team

Connect multiple existing customer contacts to an opportunity and identify their business roles without duplicating contact records.

Before you start

Use your own authorised staff account in the intended Britixo workspace. The Sales CRM module must be available and your role must include the permissions stated above. Existing leads, customers, communications and customer portal pages retain their normal access rules.

Follow these steps

  1. Link the correct existing customer to the opportunity in Edit details. Confirm the opportunity owner can also access that customer.
  2. Open Manage buying team, or View buying team when you have viewing access only.
  3. Select Add contact role. Search by first or last name and choose a contact from the linked customer.
  4. Choose a business role. Optionally record observed influence, position and relevant relationship notes.
  5. Select Add contact role and confirm the person appears with the expected role.
  6. Use Edit role to update the association. Use Open customer contacts to manage the native contact through its normal customer workflow.

Behavior and limits

  • One opportunity can have up to 50 contact associations, including retired ones. One native contact has one association and one selected role within that opportunity.
  • Search returns up to 50 contacts belonging to the currently linked customer. Use a more specific name when needed. Already associated contacts are marked unavailable for duplicate selection; edit or restore their current entry.
  • Creating an association reads the existing native contact. It does not create, edit, merge or delete customer-contact records.
  • Both the editor and opportunity owner must have access to the linked customer when managing associations.
  • The Primary contact badge reflects the opportunity’s existing primary-contact field. Adding or retiring a buying-team association does not change that field.
  • Each association keeps its original contact. To involve another person, add a separate association.
  • The same person can be associated with another accessible opportunity. Their role and observations are specific to each opportunity.

Check it worked

  • Confirm the displayed contact name, business role and primary-contact badge where applicable.
  • Reopen the opportunity and confirm the buying-team summary counts the available active contacts.

Troubleshooting

  • If the panel asks for customer access, link an accessible customer or have the normal account administrator review permissions.
  • If no contacts match, refine the search or create the native contact through the customer’s normal contact page.
  • A duplicate message means an association already exists, including a retired one. Enable Show retired associations and restore or edit it.
  • A stale-context warning means the opportunity changed while the form was open. Refresh the buying team before saving.
