Create and edit a sales macro
Configure optional next-step, forecast and expected-close updates with up to five owner-assigned reminders.
Where to goSales CRM → Sales actions → Create macro
Before you start
Use your own authorised staff account in the intended Britixo workspace. The Sales CRM module must be available and your role must include the permissions stated above. Existing leads, customers, communications and customer portal pages retain their normal access rules.
Follow these steps
- Choose Create macro and enter a clear name and a short description explaining when to use it.
- Enable Set the next step, Set the forecast category or Set the expected close date only where the routine should change those fields.
- Enter the next-step text, choose the forecast category and/or enter calendar days after the chosen base date for the expected close date.
- Choose Add reminder, then select its type, title, notes and calendar-day delay. Add up to five reminders.
- Administrators may choose Only me or All Sales CRM viewers for definition visibility.
- Save macro, then use View actions to review the saved definition.
- To change a definition, choose Edit from your own active macro card, update it and save.
Behavior and limits
- A macro needs at least one enabled field change or reminder. Disabled field options preserve the opportunity’s current value.
- An enabled but blank next-step value clears the next step only where existing stage requirements allow it.
- Forecast choices are Pipeline, Best case, Commit and Omitted. This changes the opportunity classification; it does not create or approve a forecast submission.
- Expected close date uses zero to 365 calendar days after the base date chosen for each run. Reminder delays use zero to 90 calendar days after that run’s base time.
- Reminder notes support up to 2,000 characters. Each reminder is assigned to the opportunity’s current owner and starts open.
- Names support 100 characters and descriptions 500. Each creator may keep up to 50 definitions, including retired definitions.
- Only the creator can edit a definition; administrator status does not reveal or override another user’s private macro. Retired definitions must be restored before editing.
- Concurrent edits are rejected. Updating the definition changes its version and prevents unfinished runs of an older version from applying further actions.
Check it worked
- Reopen View actions and check every enabled field, reminder type, title and delay.
- Confirm that Only me or shared visibility matches the intended audience.
- Preview a run to inspect actual dates before applying the routine.
Troubleshooting
- If Save reports no actions, enable a field change or add a reminder.
- If the definition limit is reached, update an existing definition; retiring one preserves it and does not free its retained-definition slot.
- If the definition changed elsewhere, refresh the library, reopen the current version and review your intended changes.
- If a shared definition belongs to someone else, ask its creator to maintain it or create your own definition.
