When this guide is useful
Property managers, landlords and portfolio operations teams
- Certificates are stored in email folders with inconsistent property names.
- A dashboard shows green even though remedial actions are unresolved.
- Renewal reminders go to an employee who no longer manages the property.
- The portfolio includes different jurisdictions or property types but uses one set of dates.
Create a requirement register before automating dates
List the obligation or document type, the property it applies to, the basis for the requirement and the responsible reviewer. Include the jurisdiction, property use and any relevant tenancy or licensing context. A portfolio can contain similar-looking documents with different purposes; separate the evidence from the rule that makes it necessary.
GOV.UK's landlord guidance identifies several safety and documentation responsibilities, while its electrical-safety guidance explicitly applies to England. That is a reason to model scope carefully, not to copy one national rule across an international portfolio. Have a qualified property or legal adviser validate the actual requirements and review dates for your situation.
Link evidence to the correct property and version
Give each property a stable identifier and retain the address as a searchable attribute. Record document type, issue date, next action date, issuer, status and the file itself. Validate important dates against the document rather than relying entirely on a filename or automated extraction. Flag unclear or missing information for review.
Keep current evidence easy to identify while preserving the history required by your retention policy. A replacement certificate should not silently erase the evidence of an earlier inspection or unresolved issue. Restrict access to tenant and contractor information, and make external document sharing a deliberate, traceable action.
Track the renewal work, not just the deadline
Model the stages between a reminder and accepted evidence: contact the responsible party, book access, appoint the appropriate specialist, perform the inspection, review the result and complete any required follow-up. Each stage needs an owner, due date and exception route. Failed access should become a visible task, not an invisible calendar delay.
Use different states for scheduled, inspected, evidence received, under review and accepted. A completed appointment does not necessarily mean the requirement is satisfied. Where a report identifies remedial work, link the actions and their evidence to the original record so the dashboard reflects the real outstanding position.
Make the dashboard useful for action
Show upcoming work by lead time, overdue actions, missing evidence and unresolved exceptions. Allow managers to filter by property, responsible team and requirement type. Include the last verification date so a green indicator is understood as a statement about reviewed evidence, not a permanent promise of compliance.
Review a sample of dashboard entries against the underlying documents and the real operational process. Test staff absence, property transfer, an amended date and a failed notification. Keep responsibility for the rule set and the review cycle visible. Software supports control and evidence; it does not replace inspections, specialist judgement or legal obligations.
From diagnosis to delivery
How Britixo can help
Britixo can scope a property workflow that connects records, documents, reminders, inspection tasks and exception reporting. Configuration or bespoke development can be matched to your portfolio structure and the responsibilities of staff, contractors and clients. The required legal and technical rules should be supplied or validated by the appropriate advisers; a software status alone does not certify a property's compliance. Bring a sample property register, document set and renewal process so we can define the data model, permissions and operational checks before expanding across the portfolio.
Talk through your requirementsCommon questions
Can one renewal interval cover every certificate?
No. The relevant period and action can depend on the document, jurisdiction, property, report findings and applicable requirements. Store the verified rule and the next required action separately, and have a responsible reviewer approve exceptions.
Can AI read dates from uploaded certificates?
Extraction can assist data entry, but important fields should be validated before they drive reminders or status decisions. Keep the source document, confidence or exception information and a review trail so staff can resolve ambiguous results.
Does a green dashboard prove the property is compliant?
It should indicate a clearly defined evidence status, such as reviewed documents with no recorded overdue actions. It cannot prove every legal or physical condition. Define what the indicator means and preserve access to the evidence and outstanding exceptions.
