Follow these steps
- Choose Entire authorised portfolio or a specific property.
- Select a suggested question or enter a concise question about risk, compliance, maintenance, arrears or performance.
- Choose Ask and read the answer and reported engine.
- Open the relevant property or native register to check the result.
- Use Morning briefing to prioritise visible critical cases, credentials, ending tenancies and high-risk properties.
Fields, rules and limits
- Questions are limited to 2,000 characters. Custom connected AI hooks can have their own integration behaviour and require a separate configuration review.

If something does not look right
If no provider is configured or it is unavailable, Flow can use deterministic local intelligence. Reword overly broad questions and check whether the relevant domain is visible to your role.

What data goes to the native AI provider?
The built-in provider path uses minimised context excluding raw contact details, full addresses, document bodies, communication bodies and individual ledger rows. Your typed prompt is still input, so do not paste sensitive evidence unnecessarily.
Are questions retained?
The AI audit stores prompt, response, engine, staff/property references and a minimised context hash.
Does AI carry out the recommended action?
The question-and-answer screen provides guidance; use the relevant governed workflow to make changes. It does not certify legal compliance.
