Use the opportunity relationship timeline

Review opportunity changes, scheduled activities, internal notes and explicitly linked emails in one chronological view.

Before you start

Use your own authorised staff account in the intended Britixo workspace. The Sales CRM module must be available and your role must include the permissions stated above. Existing leads, customers, communications and customer portal pages retain their normal access rules.

Follow these steps

  1. Open an opportunity you can access and select Open timeline.
  2. Choose Everything, Record changes, Activities, Internal notes or Linked emails in Show.
  3. Optionally set From and To dates, then select Apply filters.
  4. Enable Include retired notes and email links when you need retained entries.
  5. Select Read note or Read email to inspect an entry. Open activities returns to the opportunity’s existing activity controls.
  6. Select Load earlier entries to continue through the available history.

Behavior and limits

  • The timeline combines this Sales CRM module’s recorded changes, its opportunity activities, internal opportunity notes and emails explicitly linked through Link email. It does not automatically collect every conversation from other modules.
  • The view loads 50 entries per page, newest first. Entries sharing a timestamp have a stable order; loading earlier entries continues from the last loaded position.
  • Activities use their scheduled date and time. Future open activities are labelled Upcoming reminder. Their completion outcome is displayed when recorded.
  • Notes appear at their original creation time with an edited timestamp when applicable. The note body is its current text.
  • Emails use the original source message timestamp, rather than the date the association was added. Mailbox timestamps follow the existing mailbox record.
  • Date filters include the selected start and end dates. Clearing both dates allows the available history without a date restriction.
  • Unreadable emails are omitted. Sales CRM viewing access and administrator status do not override a private mailbox’s membership rules.
  • Adding a note or linking an email does not change opportunity value, probability, stage, forecast or external-engagement health timestamps.

Check it worked

  • Check the source label and date on each entry. A scheduled reminder is not evidence that a call was placed or an email sent.
  • Filter to Internal notes or Linked emails and confirm the expected entries appear.
  • Reapply filters to refresh the view after other staff make changes.

Troubleshooting

  • If an entry seems missing, clear the date/type filters and load earlier entries. Enable retired entries if relevant.
  • Email source permissions and current customer/lead relationships are checked again on each request; access changes may remove an email from the view.
  • When the mailbox module is unavailable, notes, activities and record changes remain usable.
  • Concurrent new entries can appear on the next refresh. Reapply filters to restart from the latest timeline position.
