Create and maintain internal opportunity notes
Keep shared sales context in an opportunity note with author controls, revision checks and reversible retirement.
Where to goSales CRM → Deals → Open opportunity → Open timeline → Add note
Before you start
Use your own authorised staff account in the intended Britixo workspace. The Sales CRM module must be available and your role must include the permissions stated above. Existing leads, customers, communications and customer portal pages retain their normal access rules.
Follow these steps
- Select Add note from the relationship timeline.
- Enter a clear title and factual business context.
- Select Save note and review the saved text.
- Use Edit note to update a note you authored, or use an administrator account with the required access.
- Use Retire note when it should leave the default timeline. Enable retired entries to find it again and select Restore note if needed.
Behavior and limits
- Notes are internal to staff who can view the opportunity. They are not sent to the customer and do not become customer-portal content.
- Titles support 150 characters and note text supports 10,000 characters. An opportunity supports 1,000 notes, including retired notes.
- Only the author or an administrator can edit or retire a note, and ordinary opportunity editing access is also required.
- Editing replaces the current note text. The opportunity’s event history records the save action without retaining a prior-text copy.
- Retirement preserves the current note and hides it from the default timeline. There is no permanent-delete action in this workflow.
- Archived opportunities are read-only; restore the opportunity through its normal workflow before changing notes.
- Saving a note does not send a message, complete an activity, change the deal revision or run deal-change automation.
- A concurrent note edit or changed opportunity context causes a conflict rather than silently overwriting the newer state.
Check it worked
- Reopen Read note and confirm the title and text.
- After retirement, enable Include retired notes and email links and confirm the note is retained.
- Confirm a restored note appears in the default timeline.
Troubleshooting
- If Edit note is absent, check whether you authored the note and have opportunity Edit access.
- If a conflict appears, reopen the latest note and opportunity context before saving your intended update.
- A retired note must be restored before its text can be edited.
- At the note limit, retired entries still count. Retirement does not create additional capacity.
