This notice explains the information Britixo may receive through the website and business enquiries, why IT is used, how IT is protected and the choices available to you.

1. Scope of this notice

This notice applies when you visit britixo.com, send a business enquiry, ask for information, register an interest in an event or otherwise communicate with Britixo about technology services. It does not automatically cover a client project, employee relationship or third-party platform. Those activities may require additional notices and contract terms that reflect the actual service and information involved.

Britixo aims to collect only the information needed for a clear purpose. The website does not currently use advertising trackers, marketing profiling or third-party analytics. The contact form prepares an email in your own email application; the website does not transmit the form to a hidden database before you choose to send it.

2. Information Britixo may receive

Business contact information may include your name, work email address, telephone number, organisation, role, preferred timeframe and the content of your message. During a conversation you may also provide information about technology systems, suppliers, service pressures, project plans or commercial requirements. You should avoid including passwords, detailed vulnerability information, special-category personal data or confidential records in an initial enquiry.

The hosting environment may create technical logs when a page or asset is requested. Depending on the provider, those logs can include an internet protocol address, date and time, requested path, browser or device information, referrer and response status. Logs are used for security, availability, fault investigation and capacity rather than to build an advertising profile.

3. How the website form works

When you complete the contact form, JavaScript assembles the entered information into an email draft and attempts to copy the message text to your device clipboard. Your own email application then opens. Britixo receives the information only if you review and send that email. Clipboard access may be blocked by your browser; the enquiry can still be sent manually to the published email address.

The form uses normal browser validation to check required fields and email format. It does not replace the security and privacy controls of your email provider or device. Use a high-level description first, then agree an appropriate route for sensitive material if the conversation progresses.

4. Purposes and lawful grounds

Britixo may use enquiry information to understand and respond to your request, arrange a meeting, prepare a proposal, take steps towards a contract, maintain a record of the business conversation and protect the security of the website and communication channels. Depending on the circumstances, the lawful ground may be taking steps at your request before entering a contract, performing a contract, complying with a legal obligation or pursuing legitimate interests in operating and developing the business.

Where a use genuinely requires consent, the request should be specific and capable of being withdrawn. Consent is not treated as the default explanation for every normal business communication. A separate basis and explanation may be needed for marketing lists, recruitment, client-service processing or event platforms if those activities are introduced.

5. Sharing and service providers

Information may be accessible to people within Britixo who need it to respond, deliver or govern the relevant work. It may also be processed by essential providers such as website hosting, email, productivity, security, professional advice or contract-management services. Providers should receive only the information needed for their role and be subject to appropriate confidentiality, security and data-protection terms.

Britixo does not sell personal information. Information may be disclosed where required by law, needed to establish or defend legal rights, necessary to address a credible security threat, or involved in a legitimate business reorganisation with appropriate safeguards.

6. International access and transfers

Some technology providers may process information outside the United Kingdom or allow support access from another country. Before using such a provider for personal information, Britixo should review the location, contractual protections, security, access model and any transfer mechanism required by applicable data-protection law.

The fact that Britixo can offer UK-based data-centre and server options for client workloads does not mean every business email or website support service is automatically processed only in the UK. The actual provider and data flow must be confirmed for each service.

7. Retention

Information is kept for as long as it remains necessary for the enquiry, proposed or active relationship, legal obligations, security, dispute handling and legitimate business records. Enquiries that do not progress should not be retained indefinitely. Duplicate, obsolete and unnecessary material should be removed through a documented review process.

Specific client services may require a defined retention schedule for tickets, logs, backups, project records or assurance evidence. Those periods should be agreed in the relevant service documentation rather than assumed from this website notice.

8. Security

Britixo uses proportionate technical and organisational measures intended to protect information against unauthorised access, loss, alteration and disclosure. Measures can include access control, multi-factor authentication, managed devices, encryption, backup, monitoring, supplier review and incident procedures. No internet or email system can be described as risk-free, so sensitive information should be exchanged only through an agreed route.

If a personal-data incident occurs, Britixo should assess the facts, contain the issue, preserve evidence, notify relevant parties where required and improve the affected controls. Contractual client incidents may follow additional reporting and cooperation arrangements.

9. Your rights

Depending on the circumstances and applicable law, you may have rights to be informed, access your personal information, correct inaccurate information, request deletion, restrict or object to processing, receive portable information and challenge certain automated decisions. Some rights are qualified and may not apply to every business record.

Send a request to hello@britixo.com with enough information to identify the relevant interaction. Britixo may need to verify identity and clarify the request before disclosing information. You may also raise a concern with the UK Information Commissioner's Office if you believe your data-protection rights have not been respected.

10. Website storage and cookies

The current website does not set non-essential cookies, write a consent preference to local storage or load analytics and advertising tags. Hosting and security providers may still create server-side technical logs when delivering and protecting the service. 11. Changes and contact

This notice should be updated when the website, providers, business processes or legal identity materially change. A review date should reflect a real examination of the data flow rather than an automatically changing timestamp. Material changes should be explained clearly where people would reasonably expect to know about them.
