Licenses in Britixo can be mapped to accounts based on their purchase cost and the number of seats. This ensures your accounting system always reflects the correct value of your licenses, simplifying audits and financial reports.

Manual Mapping

If License Mapping is disabled, the license value won’t be mapped automatically—you must handle it manually.

1. Go to the Licenses menu under the Fixed Equipment module.
   
   

2. Create a license → enter the purchase cost, purchase date, and seat.
   
   

3. Open the Transactions menu under Accounting → Fixed Equipment → Licenses.
   
   

4. Click the mapping option, select the correct account, then click Save.
   
   

Result:
Mapped value = Purchase cost × Seat.
Data is prioritised by purchase date. If not provided, it will be mapped by the date of mapping.

Automatic Mapping

To speed up the process:

1. Go to Settings → Accounting module → Mapping setup → Fixed Equipment tab.
   
   

2. Enable License Mapping setup.
   
   

3. Select the payment account and deposit to, then click Save.
   
   

4. Create a license with purchase details in the Fixed Equipment module.
   
   

Result: The license’s value is automatically mapped to your selected account.
Again, priority is given to purchase date; otherwise, the mapping date is used.

Mass Mapping

Map multiple licenses at once:

1. Enable License Mapping setup and configure accounts.
   
   

2. Go to Transactions → Accounting → Fixed Equipment → Licenses.
   
   

3. Select licenses with the status Has not been mapped.
   
   

4. Click Bulk actions → Mass mapping → Confirm.
   
   

Result: All selected licenses are mapped automatically.

Edit Mapping

1. Navigate to Transactions → Fixed Equipment → Licenses.
   
   

2. Select the license → Click Edit.
   
   

3. Change the account and click Save.
   
   

Result: The mapped account is updated.

Delete Mapping

1. Go to Transactions → Fixed Equipment → Licenses.
   
   

2. Select the license → Click Delete.
   
   

3. Confirm in the pop-up.
   
   

Result: The mapping for that license is deleted.

Mass Delete Mapping

1. Open Transactions → Fixed Equipment → Licenses.
   
   

2. Select licenses with the status Has been mapped.
   
   

3. Click Bulk actions → Mass delete mapping → Confirm.
   
   

Result: The license mappings are deleted, and balances are adjusted.
