Approve and apply an employee change request

Approve a pending controlled amendment, revalidate it and synchronise the authoritative v1.3.0 employee record.

What you need before you start

  • Access to Admin Area → Human Resources → Employee Record Centre → Select employee → Approval Queue.
  • The Human Resource Management: Approve capability or administrator access.
  • The correct employee, record, period or authorised evidence.

How to do it

  1. Open a request with status Pending.
  2. Review the employee, request reference, changed fields, reason and authorised evidence.
  3. Enter an optional decision note.
  4. Click Approve & Apply.
  5. Confirm the request becomes Applied, or Failed if synchronisation could not complete.
  6. Review Change History and Automation logs.

What the module checks

  • Only pending requests can be approved.
  • The current record hash must still match the request before hash.
  • The proposed payload is revalidated at approval time.
  • Application and synchronisation are transactional where implemented; failures are recorded.

What happens next

The module saves the permitted change and records the resulting status, version, delivery or synchronisation evidence. Reopen the relevant register and verify it.

Troubleshooting

  • If the control is missing, confirm the required HRM permission and module version 1.3.0.
  • If saving fails, correct the exact field or state named in the validation message.
  • If an email/automation is missing, review the module delivery/audit log and host cron/mail settings.
