Use the Employee Record Centre

Maintain the current authoritative operational employee record, approve controlled changes, manage document versions and review synchronisation.

What you need before you start

  • Access to Admin Area → Human Resources → Employee Record Centre.
  • The Human Resource Management: View capability or administrator access.
  • The correct employee, record, period or authorised evidence.

How to do it

  1. Open Employee Record Centre.
  2. Use the Employee Register search to find the employee by name, HR employee number, department or job title.
  3. Select the employee and review the summary: status, record version, pending approvals, documents and last changed date.
  4. Use Current Record to edit data, Approval Queue to decide protected changes, Documents for metadata/version actions, Change History for amendment evidence and Automation for sync logs.

What the module checks

  • View permission opens the centre; Edit changes records/documents; Approve decides protected changes; Export downloads document versions.
  • The current record is authoritative for operational data; original onboarding evidence is preserved.
  • Every save requires an amendment reason and the current row version.

What happens next

The module saves the permitted change and records the resulting status, version, delivery or synchronisation evidence. Reopen the relevant register and verify it.

Troubleshooting

  • If the control is missing, confirm the required HRM permission and module version 1.3.0.
  • If saving fails, correct the exact field or state named in the validation message.
  • If an email/automation is missing, review the module delivery/audit log and host cron/mail settings.
HR data safety Restrict identity, right-to-work, payroll, bank, health, disciplinary and document information to authorised staff. Do not place protected values in free-text notes, email recipients or screenshots.
