Appointment invoicing overview
Understand how an eligible Britixo appointment can be converted or automatically linked to a CRM invoice without merging appointment status and financial status.
What this feature does
Understand how an eligible Britixo appointment can be converted or automatically linked to a CRM invoice without merging appointment status and financial status. It uses Britixo's permission-aware appointment, availability, status and integration flow rather than an unconnected diary entry.
How the module flow works
Manual conversion creates a CRM invoice from an eligible customer-related appointment when the staff user has invoice Create permission.
Automatic invoice creation is restricted to eligible external client bookings for a paid service when the feature is enabled and no invoice already exists.
The appointment stores the invoice identifier, but completion, cancellation, invoice status and payment remain separate facts.
Step-by-step workflow
- Configure service price and invoice/tax settings.
- Create an eligible customer appointment.
- Use manual conversion or test automatic creation.
- Open the linked invoice and verify line/tax data.
- Return to the appointment and confirm the invoice reference.
Important fields and decisions
What happens after completion
After this workflow completes, Britixo keeps the appointment and its supported relationships connected. Reopen the appointment and verify the saved status, date, timezone, customer or lead, service, provider, attendees, reminder state, calendar or meeting reference, invoice reference and history that apply to this feature. External email, SMS, Google, Microsoft or payment outcomes must be checked separately from the Britixo database save.
- Open the saved appointment and confirm the final status and source.
- Check the participant, provider, timing and timezone from the full detail page.
- Review the relevant table filter, calendar, history, report or linked invoice instead of relying only on a success message.
Controls, checks and common mistakes
- Do not assume appointment completion pays the invoice.
- Avoid duplicate conversion when an invoice ID already exists.
- Check tax mode before enabling automation.
- Use the least destructive correction and retain the appointment history when the booking existed operationally.
- Never bypass a permission, availability, approval, client-access or verification control by changing an unrelated route or setting.
