Before you beginThis guide follows the supplied Britixo Appointments & Scheduling module version 1.3.6. The relevant access is Any Appointments permission. A menu, button, provider, time slot or client action can remain hidden when the signed-in user lacks the required permission, the module setting is disabled, the related record is in an ineligible state, or availability validation rejects the request.

What this feature does

Understand the complete appointment workspace, its staff, customer and public booking areas, and the records that connect services, providers, calendars, reminders, invoices and feedback. It uses Britixo's permission-aware appointment, availability, status and integration flow rather than an unconnected diary entry.

How the module flow works

The module adds a permission-aware Appointments menu for staff, an optional Appointments area for customer contacts and a public booking form for external visitors.

Every appointment stores its source, related contact or lead, service, provider, attendees, date, start and end time, timezone, status, reminder settings and optional calendar or invoice references.

Company hours, staff-specific working hours, service duration, preparation and clean-up buffers, blocked dates and existing busy records are combined before a slot is offered.

Step-by-step workflow

  1. Open the Appointments menu from the staff sidebar.
  2. Review the Appointments list and summary before creating records.
  3. Configure services, company schedule and staff working hours.
  4. Open Settings and choose the public form, calendar, reminder and invoice behaviour.
  5. Test one internal appointment and one public booking before publishing the form.

Important fields and decisions

Appointments menuContains appointments, services, schedules, history, reports, booking form and settings according to permission.
Appointment sourceDistinguishes staff-created internal records from public external bookings.
StatusUses Pending, In Progress, Completed, Cancelled and No Show.
Related recordsCan connect to a customer contact, a lead, staff only, a service, an invoice and calendar events.

What happens after completion

After this workflow completes, Britixo keeps the appointment and its supported relationships connected. Reopen the appointment and verify the saved status, date, timezone, customer or lead, service, provider, attendees, reminder state, calendar or meeting reference, invoice reference and history that apply to this feature. External email, SMS, Google, Microsoft or payment outcomes must be checked separately from the Britixo database save.

  • Open the saved appointment and confirm the final status and source.
  • Check the participant, provider, timing and timezone from the full detail page.
  • Review the relevant table filter, calendar, history, report or linked invoice instead of relying only on a success message.

Controls, checks and common mistakes

Scheduling and data safetyAppointment changes can notify customers, reserve provider time, update remote calendars, create meeting links or invoices and alter reports. Confirm the exact record, timezone, status and recipients before saving.
