Approve and finalise onboarding
Approve a submitted onboarding case, create the implemented operational employee/restriction/task records and verify the v1.3.0 right-to-work notification transition safely.
Exact navigation Admin Area → Human Resources → Hiring & Onboarding → Employee Onboarding → Review decision
Code-backed scope These instructions follow Human Resource Management v1.3.0. Use only controls visible to your permission level and confirm the saved record or audit entry after every action.
What you need before you start
- Access to Admin Area → Human Resources → Hiring & Onboarding → Employee Onboarding → Review decision.
- The Human Resource Management: Create/Edit/Approve capability or administrator access.
- The correct employee, record, period or evidence reference before making a change.
How to do it
- Open the submitted onboarding case and verify its ONB reference.
- Review all identity, employment, right-to-work, work restriction, HMRC starter, payment, pension, DBS, adjustment and governance evidence.
- Enter a required decision note.
- Choose Approve and submit once.
- Confirm the success message states that the onboarding case was approved and finalised and that operational employee, restriction and onboarding-task records were created.
- Open People Operations and Employee Record Centre; verify the employee code, linked records and current status.
- When the saved right-to-work state transitions into a completed/verified state, review the configured RTW delivery and audit log; a notification failure is logged safely and does not roll back the employee-record change.
Fields and options
Case referenceMust match ONB-[A-Z0-9-]{8,32}.
Decisionapprove, changes_requested or rejected.
Decision noteRequired for every decision.
FinalisationCreates supported operational employee, work-restriction and onboarding-task records.
RTW notificationUses the v1.3.0 safe transition notification path when applicable.
What the module checks
- Only a user with Approve capability may decide the case.
- The case must pass finalisation validation; partial finalisation is not retained on failure.
- Do not mark evidence verified unless the prescribed check was actually performed.
- Notification failure does not undo a valid employee-record update; investigate the delivery log separately.
What happens next
The result remains available from Admin Area → Human Resources → Hiring & Onboarding → Employee Onboarding → Review decision. Verify the final status, linked records and audit evidence.
Troubleshooting
HR data safety Restrict identity, right-to-work, payroll, bank, health, disciplinary and document information to authorised staff. Do not place protected values in free-text notes, email recipients or screenshots.
