Configure Accounting approval workflows
Define approvers and approval steps for claims, project budgets and imprests using staff, manager and department relationships.
What this feature does
Define approvers and approval steps for claims, project budgets and imprests using staff, manager and department relationships. It forms part of Britixo Enterprise CRM's Accounting & Bookkeeping module and uses the module's permission-aware controller, status and mapping flow rather than a generic spreadsheet process.
How the module flow works
The Approval settings view explicitly supports claims, project budgets and imprests, one-person approval, direct manager, department manager and staff approvers, with approve or sign actions.
Approval configuration controls workflow decisions; it does not replace underlying create, edit or payment permissions.
If Submit for Approval appears but no approver receives the item, inspect the applicable rule and staff hierarchy.
Step-by-step workflow
- Choose the related workflow type.
- Decide whether one-person or sequential approval is required.
- Add approver steps in the approved order.
- Select named staff, direct manager or department manager.
- Set action and applicability.
- Save and test with a controlled draft record.
- Verify approval notifications, status and decision history.
Important fields and decisions
What happens after completion
After the action is saved, Britixo keeps the Accounting record connected to its source and updates the visible status or ledger data supported by this workflow. Review the saved result rather than relying only on a success message. Where the action posts accounting data, total debits and credits must balance and the accounts must match the approved mapping or manual selection.
- Open the saved record and confirm its final status.
- Review the source reference and every debit and credit line where ledger data was created.
- Use the relevant register, ageing, reconciliation or report to verify the wider effect.
Controls, checks and common mistakes
- Avoid approval loops.
- Provide a fallback for absent managers.
- Do not give requesters approval rights over their own records where prohibited.
- Review workflows after organisational changes.
- Use the least destructive correction available and record the reason for material changes.
- Do not bypass a permission, approval or closed-period control by changing unrelated data.
