Edit a current employee record

Change v1.3.0 operational employee data with a mandatory reason, optimistic row-version check and automatic synchronisation.

What you need before you start

  • Access to Admin Area → Human Resources → Employee Record Centre → Select employee → Current Record.
  • The Human Resource Management: View capability or administrator access.
  • The correct employee, record, period or authorised evidence.

How to do it

  1. Open the employee and Current Record tab.
  2. Review the displayed Record version; do not work from a stale browser tab.
  3. Change only the fields supported by authorised evidence.
  4. Enter Reason for this amendment.
  5. Click Save & Synchronise.
  6. If the change is non-sensitive or you have Approve permission, confirm it is applied. Otherwise, open Approval Queue and wait for an authorised decision.
  7. Review Change History and Automation logs.

Fields and options

Reason for this amendmentRequired; maximum 500 characters.
Row versionHidden concurrency value; prevents overwriting a record changed elsewhere.
Text valuesTrimmed and limited to 500 characters.
Textarea valuesTrimmed and limited to 5,000 characters.
Number valuesMust be numeric and are rounded to two decimals.
HR employee numberUppercased and must be unique.

What the module checks

  • The action is permission-aware.
  • Required values must pass the exact server-side validation.
  • Verify the saved record and audit/log result.

What happens next

The module saves the permitted change and records the resulting status, version, delivery or synchronisation evidence. Reopen the relevant register and verify it.

Troubleshooting

  • If the control is missing, confirm the required HRM permission and module version 1.3.0.
  • If saving fails, correct the exact field or state named in the validation message.
  • If an email/automation is missing, review the module delivery/audit log and host cron/mail settings.
HR data safety Restrict identity, right-to-work, payroll, bank, health, disciplinary and document information to authorised staff. Do not place protected values in free-text notes, email recipients or screenshots.
