Export, delete and bulk-manage journal entries
Use journal export and bulk actions carefully while protecting approved ledger history.
What this feature does
Use journal export and bulk actions carefully while protecting approved ledger history. It forms part of Britixo Enterprise CRM's Accounting & Bookkeeping module and uses the module's permission-aware controller, status and mapping flow rather than a generic spreadsheet process.
How the module flow works
The controller includes journal_entry_bulk_action, journal_entry_export and download_journal_entry_files. It also has a dedicated delete action.
Exporting does not change the ledger. Deleting does. Keep these permissions separate where practical.
After any destructive change, compare the journal report, General Ledger and Trial Balance with the pre-change evidence.
Step-by-step workflow
- Filter the journal list to the intended period.
- Open a sample journal and confirm scope.
- Use Export for review or audit.
- For deletion, identify why correction cannot use a reversal.
- Select only approved journals.
- Run the bulk action and review every result.
- Rerun Trial Balance and affected reports.
Important fields and decisions
What happens after completion
After the action is saved, Britixo keeps the Accounting record connected to its source and updates the visible status or ledger data supported by this workflow. Review the saved result rather than relying only on a success message. Where the action posts accounting data, total debits and credits must balance and the accounts must match the approved mapping or manual selection.
- Open the saved record and confirm its final status.
- Review the source reference and every debit and credit line where ledger data was created.
- Use the relevant register, ageing, reconciliation or report to verify the wider effect.
Controls, checks and common mistakes
- Do not bulk-delete journals in a closed period.
- Keep exports confidential.
- Review partial failures.
- Use deletion only under an authorised correction policy.
- Use the least destructive correction available and record the reason for material changes.
- Do not bypass a permission, approval or closed-period control by changing unrelated data.
