Add an operational entry and sync supplier costs
Use manual entries only for amounts not already represented by a native source or rent schedule.
Before you start
Use manual entries only for amounts not already represented by a native source or rent schedule.
Follow these steps
- For native supplier invoices, choose Sync supplier invoices and inspect the resulting source-linked costs.
- For a manual item, choose the property and Type: rent, deposit, management fee, supplier cost, landlord payment, adjustment or other.
- Enter the amount, status, due date, reference and notes.
- Use Direction for Adjustment or Other; standard types use their governed direction.
- Choose Add operational entry and inspect the saved ledger source and statement effect.
Check it worked
The entry has the correct property, type, amount and source, without duplicating a synchronised cost.
If something does not look right
A manual Paid status is not a receipt allocation workflow. Use Record rent receipt for rent settlement and verify native payment state for supplier costs.
Questions and answers
Can I use a negative amount?
No. Manual amounts are non-negative. Adjustment/Other provides debit or credit direction.
Does a landlord payment entry send money?
No. It records the operational payout amount; the actual payment process is separate.
How does supplier sync avoid repeated costs?
It updates or creates the ledger representation keyed to the native supplier invoice. Check the source reference instead of manually copying it.
