Creating, Assigning, and Approving Properties in Britixo Real Estate or Property Management Software UK.
Introduction
The Properties module in Britixo is the core of real estate management. From adding new properties, capturing details like location and amenities, assigning them to agents or brokers, and approving them for visibility, this process ensures accurate property listings and smooth sales or rental workflows.
Britixo provides full flexibility: you can enter detailed property information, attach images and documents, assign responsibilities, and manage approvals so only validated properties are published to clients.
✅ Step 1: Create a New Property
🧭 Go to Real Estate → Properties.
➕ Click Add New Property.
Complete the available tabs:
Property Tab 🏠
Enter the property’s address and location.
Property code is auto-generated based on your prefix settings.
Use Select on Map to mark the exact location using Google Maps.
Property Visibility 👀
Properties with statuses Pending, Withdrawn, Expired, or Backup will not be visible to clients.
Properties with statuses New, Active, Closed Sale, Pending Sale, Sold, or Rented are visible and searchable.
Expense Tab 💷
Add any purchase or rental-related expenses (maintenance, taxes, additional fees).
Pool/Exterior Tab 🌳
Select outdoor features (e.g., garden, swimming pool, parking).
Interior Tab 🛋
Define interior amenities (kitchen type, flooring, furnishings).
Room Tab 🚪
Add detailed room-by-room specifications (bedrooms, bathrooms, office space).
Owner Tab 👤
Select the Property Owner or company associate (data comes from the Property Owner screen).
Business Broker Tab 🤝
Enter commission percentage for brokers or agents.
Assign the staff member responsible for selling or renting the property.
Attachment Tab 📎
Upload property-related files (images, videos, floor plans, documents).
These will be displayed when viewing the property.
✅ Step 2: Assign Property to Staff, Agents, or Business Brokers
🧭 Open the property record and click Edit Property.
Go to the Business Broker tab.
Assign the property to:
Company staff (choose from the list).
Agents (linked to your company).
Business Brokers (external but registered).
📝 Add commission information for the staff, agent, or broker.
Note: commissions are for reference only and do not trigger backend accounting processes.
🔑 Permissions Note:
Only users with the Assign to Business Brokers privilege can assign properties to brokers.
If a broker creates a property, it is automatically assigned to them.
If a company employee assigns a property to an agent, the agent can reassign it to their staff members.
✅ Step 3: Approve Properties
Some properties require approval before becoming visible.
🧭 Go to Real Estate → Approvals.
Pending properties will appear with the status Pending.
✅ Select the property and click Approve.
Approved properties will then appear in the Properties list with their assigned visibility.
🔐 Approval rules:
Company employees only see approval requests related to the company.
Agents’ staff can only approve properties linked to their own agent.
Business Broker properties do not require approval.
