✅ Managing Agents and Business Brokers in Britixo Real Estate or Property Management Software UK.

Introduction

In Britixo practice management software, the Real Estate module allows you to manage two key roles: Agents and Business Brokers. These profiles are essential for structuring how properties are assigned, approved, and represented in your business.

Agents usually work directly under your company, with staff and employees linked to them, while Business Brokers operate more independently but can still manage properties, access their own portal, and collaborate with company staff. This article explains how to create, manage, and view both roles step by step.

✅ Step 1: Add a Real Estate Agent

  1. 🧭 Go to Real Estate → Agents.

  2. ➕ Click New Real Estate Agent.

  3. Fill in the required information:

    • Profile and Billing/Shipping tabs – enter the agent’s business and contact details.

    • Code – auto-generated based on your system settings.

    • About Information – appears on the Review Agents screen.

    • Plan Data – fetched from system settings; determines the agent’s permissions and staff allocation.

    • Privacy setting

      • Private Agent: profile hidden from customers.

      • Public Agent: profile visible to customers.

    • Verification Type – choose Verified Agent or Regular Agent (for display only, does not affect process).

  4. 👥 Use the User Profile tab to add employees for the agent.

  5. ⚙️ Use the User Permission tab to assign permissions to those employees.

  6. 💾 Click Save to complete.

✅ Step 2: View and Manage an Agent Profile

  1. 🧭 Go to Real Estate → Agents.

  2. Click View next to the agent’s name.

  3. The following screens are available:

    • Profile screen – view and edit agent details.

    • Staff screen – manage employees linked to the agent.

      • Approval Manager: grants ability to approve properties created by the agent’s employees.

      • Require Approval: properties created by this employee require manager approval.

      • Public Staff: makes employee profiles visible to customers.

      • New Staff: add new employees under the agent.

    • Properties screen – view the agent’s approved properties in list or map format.

    • Review screen – see overall stats, including:

      • Median sold price.

      • Properties sold, for sale, leased, and for rent.

      • Median leased price.

      • Team information (employees linked to the agent).

💡 Example: If a company employee assigns a property to one of the agent’s staff members, when that property is sold, the sales result will count towards both the agent and their staff member.

✅ Step 3: Add a Business Broker

  1. 🧭 Go to Real Estate → Business Brokers.

  2. ➕ Click Add New.

  3. Fill in the broker’s details:

    • Information and Billing/Shipping tabs – enter contact details.

    • Code – auto-generated by system settings.

    • About Information – shown on the Review Brokers screen.

    • Privacy setting

      • Private Broker: profile hidden from customers.

      • Public Broker: profile visible to customers.

    • Verification Type – choose Verified Broker or Regular Broker (for display only).

    • Profile tab – enter detailed business broker information.

  4. 💾 Save to complete.

✅ Step 4: View and Manage a Business Broker

  1. 🧭 Go to Real Estate → Business Brokers.

  2. Click View next to the broker’s name.

  3. Available screens:

    • Profile screen – view and edit broker information.

    • Staff screen – manage employees working under the broker.

    • Properties screen – view the broker’s active properties (all except pending ones), in list or map view.

    • Review screen – see broker statistics:

      • Median sold price.

      • Properties sold and for sale.

      • Map of active, pending, rented, and sold properties.

✅ Step 5: Broker Portal Access

  • Business Brokers can access their own Broker Portal from the Customer Portal login page.

  • They can register their information, manage their properties, and operate under the company’s management structure.

  • Note: Agents and company staff cannot see each other’s Business Brokers, keeping broker operations independent.

Pro Tips

  • ✅ Use Public vs. Private options strategically to control what clients can see.

  • ✅ Assign Approval Managers carefully to maintain proper property validation workflows.

  • ✅ Regularly review the Review screen to monitor agent and broker performance (sales, rentals, prices).

👉 By properly setting up and managing Agents and Business Brokers in Britixo, your organisation can streamline property assignments, ensure transparency, and keep both company staff and independent brokers aligned under one system.
