Managing Buy and Rental Requests in Britixo Real Estate or Property Management Software UK.
Introduction
Britixo Real Estate makes it easy to manage both property purchase requests and rental requests. These requests can be created by your internal staff or directly by clients through the client portal. Each request follows a structured workflow, moving from Draft to Approval, and then into a Contract and Invoice stage.
This guide covers how to create and manage buy and rental requests as an administrator, as well as how clients can submit requests through the portal.
✅ Step 1: Create a Buy Request (Admin)
🧭 Go to Real Estate → Buy Requests.
➕ Click New Request.
Enter the required details for the request.
💾 Save.
Workflow & Options
Newly created requests begin with Draft status.
Once approved, you’ll see options to:
Convert to Contract 📄
Convert to Invoice 💷
While awaiting contract/invoice, the linked property status changes to Pending Sale.
Once a contract is created, the property status automatically changes to Sold.
Managing Buy Requests
View requests as PDF, Download, Print, or Send by Email.
Convert requests directly into contracts and invoices.
⚠️ Requests with existing contracts and invoices cannot be edited or deleted.
✅ Step 2: Create a Rental Request (Admin)
🧭 Go to Real Estate → Rental Requests.
➕ Click New Request.
Fill in the required fields:
Property Name – choose from available rental properties.
Term – rental period (days, weeks, months, or years).
End Date – automatically calculated based on the rental term.
Workflow & Options
New rental requests also begin as Draft.
Once approved, you’ll see options to Convert to Contract or Convert to Invoice.
Property status changes to Pending Sale until the contract is created.
Once a contract is signed, the status updates to Rented.
Automatic Invoicing
Rental invoices are generated based on the rental unit:
Example: £100 per week for 2 weeks → 2 invoices created.
Example: £10 per day for 5 days → 5 invoices created.
Managing Rental Requests
View, print, or email rental requests.
Use Renter Profile to see details of the customer making the request.
⚠️ Requests linked to contracts/invoices cannot be edited or deleted.
Approved renters appear in the Tenants list, along with any unpaid invoices.
✅ Step 3: Client Creates a Buy Request (Portal)
👤 Client logs in and views a property for sale.
Click Request next to the staff member handling the property.
Fill in the request details.
The request appears in the Buy Applications list with status Draft.
Client Workflow
Clients can only edit or delete requests while in Draft status.
Once ready, the client selects Submitted to confirm, or Cancelled to cancel.
If staff create a contract and invoice, the client must pay the invoice to complete the property purchase.
✅ Step 4: Client Creates a Rental Request (Portal)
👤 Client logs in and views a property for rent.
Click Request next to the staff member managing the property.
Fill in rental details such as term (days/weeks/months).
The request appears in the Rental Applications list with status Draft.
Client Workflow
Clients can only edit or delete rental requests in Draft status.
Once ready, they select Submitted to confirm, or Cancelled to cancel.
If staff generate a contract and invoices, the client must pay invoices according to the rental schedule.
