Describe the business and the demand
Start with your company, sector, locations and approximate scale. Explain the customer groups, service area and reason for outsourcing. Distinguish a temporary campaign, overflow support and an ongoing operation because they may need different staffing and commercial models.
For inbound work, provide call totals, busiest intervals, typical handling time and current missed-call or callback patterns where known. For outbound work, describe list size, audience, contact source, campaign purpose and desired outcomes. If figures are estimates, label them so capacity can be reviewed sensibly.
Explain the work and the systems
List the questions agents should answer, details they must capture, decisions they may make and situations they must escalate. Provide opening hours, required languages, training material and any specialist constraints. Name the person who approves the knowledge and receives difficult enquiries.
Identify current numbers, providers, VoIP or PBX, CRM, calendars and other systems. Say whether you need Britixo agents, technology for your own staff or both. Describe integrations by the required action, such as creating a qualified sales task, rather than only naming an application.
Include controls and commercial boundaries
The brief should explain data permissions, screening and suppression requirements, recording needs, retention expectations and access restrictions. Do not include passwords, complete prospect lists or sensitive customer records in a general enquiry. System access and working data can be arranged through an appropriate approved process later.
State your preferred start date, budget range, contract expectations and procurement requirements. The dedicated contact form asks detailed questions across these areas and creates a reference through the existing enquiry process. A complete form reduces follow-up, but genuinely uncertain technical, legal or commercial details may still require clarification before a final quotation.
