Create a follow-up activity cadence
Build a repeatable sequence of calls, meetings, tasks and email reminders with clear instructions and delays.
Where to goSales CRM → Sales setup → Follow-up cadences → Add cadence
Before you start
Use your own authorised staff account in the intended Britixo workspace. The Sales CRM module must be available and your role must include the permissions stated above. Existing leads, customers, communications and customer portal pages retain their normal access rules.
Follow these steps
- Enter a recognisable cadence name and choose Active or Retired.
- For each step, enter an activity title, select its type, set Wait days and add instructions for the owner.
- Use Add step to extend the sequence. Configure Outcome branches when different results should lead to different next steps.
- Review the timing and instructions, then select Save cadence.
- Open an authorised, open deal and use Start cadence to enrol it when the process is appropriate. Saving a template alone does not enrol any deal.
Behavior and limits
- Each template contains one to twenty ordered steps. Each delay is a whole number from zero to ninety days. Up to 100 templates, including retired templates, can be stored.
- The first delay is measured from the start time selected during enrolment. Later delays are measured from the recorded completion time of the preceding activity. Days are calendar days in the application timezone.
- Call and email steps create staff reminders. They do not place calls, send messages or bypass existing communication approval rules.
- Once a template has been used, its steps, instructions, delays and branches are fixed. Create a new template for a revised process. Its name and availability can still be changed.
- Retiring a template prevents new enrolments. Existing runs keep their process and can continue. Retirement does not stop those runs.
- The server rejects a stale configuration if another administrator saved first.
Check it worked
- Reopen the template and check its step order, timing and branches.
- Enrol an appropriate deal and check that only the first scheduled activity is created.
Troubleshooting
- A used-template message means its process must remain consistent with recorded runs. Create a new template instead of editing its steps.
- If a template is missing from Start cadence, confirm it is active and refresh the workspace.
- If a branch target becomes invalid after removing a step, choose a remaining later step or Next step before saving.
