Configure quotation approval limits and reviewer access
Require an independent review for every quote or for terms above explicit discount and total limits.
Where to goSales CRM → Products & pricing → Configure price book → Approval policy; native staff permissions → Sales CRM
Before you start
Use your own authorised staff account in the intended Britixo workspace. The Sales CRM module must be available and your role must include the permissions stated above. Existing leads, customers, communications and customer portal pages retain their normal access rules.
Follow these steps
- Choose Every quotation to require a different reviewer for every submission.
- Alternatively choose Above the following limits, then enter the maximum discount percentage and maximum total that may be approved without a reviewer.
- In the normal staff or role permission screen, grant Approve accessible quotations only to intended reviewers. Keep their normal Sales CRM viewing and native Items View permissions.
- Ensure at least one reviewer other than the preparer and requester can access the opportunity and its linked native customer or lead records.
- Test a representative quote below and above the limits using authorised accounts before relying on the policy.
Behavior and limits
- Threshold approval requires review when either discount or total is strictly above its limit. Equality is within the limit.
- A quote within both limits becomes Approved when submitted, with a policy note and no human reviewer recorded. It is not approved merely by saving a draft.
- A controlled quote becomes Awaiting approval. The preparer and submitting staff member cannot approve or reject their own quotation, including when they are administrators.
- Approving quotations is a separate permission from approving deal-stage changes. Existing staff permissions are not automatically broadened.
- A controlled submission is rejected when no different eligible reviewer is available. Changing the book policy makes older drafts or pending pricing stale.
Check it worked
- Check that the quote shows the expected approval requirement during Calculate & review.
- After submission, confirm either Awaiting approval or Approved within the configured limits, as intended.
Troubleshooting
- If no reviewer is eligible, check active staff status, Sales CRM view scope, Items View, quote approval and native linked-record permissions.
- Giving someone quote approval does not make another owner’s opportunity visible. Viewing scope must already permit the record.
- Do not raise a threshold only to bypass a rejected quote. Review the commercial policy with the responsible administrator.
