Refresh, revise or cancel quotation terms
Recover from pricing changes and preserve the history of previously approved commercial terms.
Where to goOpportunity → Quotations → Open quotation
Before you start
Use your own authorised staff account in the intended Britixo workspace. The Sales CRM module must be available and your role must include the permissions stated above. Existing leads, customers, communications and customer portal pages retain their normal access rules.
Follow these steps
- For a Draft, select Edit / refresh pricing. Review the current book, products, date and quantities, then Calculate & review and Save draft quotation.
- For Awaiting approval or Changes requested, select Return to draft before editing. Previous pending review information is cleared, while the action remains in opportunity history.
- For an Approved quote, select Prepare revised quote. The prior quotation stays unchanged; review current prices and save a new quotation with a new ID.
- If a quote should no longer be used, enter a reason and select Cancel quotation.
- After refreshing terms, submit the new draft through its current approval policy.
Behavior and limits
- Book changes, product description/unit/tax changes or opportunity revisions can make stored terms stale for approval. Editing a draft recalculates against current information.
- Approved and cancelled quotations remain readable. Their commercial lines cannot be edited in place.
- Retiring a book does not erase its quotations. Choose an active book in the same currency when preparing revised terms.
- Cancellation is retained as a state and reason; there is no destructive quote-delete action. Cancelling a quote does not cancel a separately created native estimate.
- Returning to draft can tidy up pending or rejected records even if the opportunity is no longer open. Saving or submitting revised pricing requires an active open opportunity.
Check it worked
- A revision of approved terms has a different quote ID and starts as Draft.
- The original quote, cancellation reason and prior actions remain available.
Troubleshooting
- If refresh fails after removing a book product, choose an available product or revise the scope before recalculating.
- If the original book is retired, choose a current active book; prices may differ and must be reviewed.
- If someone edits the record concurrently, reopen it instead of repeatedly submitting the stale form.
